Relevance

I will be responsible to make sure that everything on Mahara is sorted and collaged so that it's easily accessible. Also I'm trying to incentivize our team to try and document as much as possible especially during the prototype phase, so we can have everyone be on the same page with the project idea and if any questions come up we answer them in the document and anybody will hopefully be able to answer questions from the members in the panel. This gives us the ability to have asynchronous meetings where we aren't dependent on answering questions with everyone having to be present, or people having to remember information from verbal communications.

Technical Challenges

Getting people to read: From my last years experience people rarely want to go through a lengthy document or message and will instead just ask questions to get the answers from the people who have read the document or created it, this can be very demoralising as it feels like there is no reason to put  in too much effort if people won't use them. However it helps keep answers in one location when someone does ask a question and there is no risk of members forgetting something as it will be documented.

Effective Writing: We have to be careful to not write the documents to where only a small selection of people are able to read them I believe it is best if the document is accessible to most readers rather than just members of the project

Tools

At the beginning of Guidify I created something called a "Google Group". This allows for anyone to type in the name of the group when they are creating meetings or sharing documents and it will include everyones emails in the group. This saves time on having to input each individual email of the targeted person. guidify@googlegroups.com

Google Docs: We will be using Google docs as our tool for creating documents since it allows us to work on documents simultaneously and access it easily across multiple devices.

Google Slides: For creating presentation slides we used Google Slides reason being everyone can work on it at the same time from anywhere

Alternative methods that we could use are uploading these documents like presentations and google docs to GitHub however this can be a costly process in terms of time.

Also another was working on documents locally on our machines with things like Word. However the issue then is collaboration if someone on the team has an issue they would have to schedule a meeting and share their screen to address problems however with online tools such as Google Doc we can work online anywhere at any time and help out each other seamlessly
